Billing and Collection Manager

Summary

This job includes both primary billing responsibility (some key account billing), “front line” supervisory of billing organization including working with management on re-engineering process flow, staff training and driving organizational metrics. Billing and Collection is responsible for ensuring all receivables and payments are recorded timely and accurately and the collections process is followed and managed closely. As part of this, the position is expected to identify and streamline the billing and collections processes by working with other departments. It is also responsible for and designing, implementing, and enforcing policies and procedures. This position is highly visible and requires a strong leader with the ability to prioritize, plan and direct the department day to day and strategic initiatives.

Accountabilities

Summary Area

  • Ensuring Billing organization meets/exceeds SLA metrics
  • Address routine issues or problems associated with billing of invoices
  • Drive automation of process – accelerate change
  • Reconciliation of account balances and monthly revenue accruals
  • Manage close process
  • Key account billing
  • Keep management informed of all issues related to billing
  • Client interaction
  • Ensure receivables are billed and applied accurately for bill statements and compliance is achieved. Actively pursue overdue balances with the appropriate stakeholders
  • Make recommendations and implement changes to streamline the billing and collections process
  • Support other departments as needed during the close cycles
  • Lead a team of Billing and Collections Analysts. Responsible for team building, personnel development, mentoring of team members
  • Establish department goals; create and provide metrics that support those goals
  • Support regulatory and audit requirements
  • Ensures policies, practices and procedures are understood and followed by direct reports and other stakeholders
  • Identify, drive, and lead innovative, strategic billing and collections initiatives across the organization
  • Assist in testing updates to billing systems
  • Experience with standard collections workflows and best practices to drive collections effectiveness.
  • Previous experience with analyzing and reconciling customer accounts (invoices and payments).
  • Previous experience with calculations supporting accounting reserves and bad debt expense.

Education and Experience

  • Minimum of 4 years billing supervisor/manager.
  • College graduate preferred
  • Collaborative skills – able to work effectively across levels and departments
  • Internal customer satisfaction driven
  • MS Office/Excel/Word experience
  • Billing system knowledge (Monarch or Hagen preferred)
  • Ability to meet strict deadlines
  • Ability to deal with demanding salespeople/operational personnel
  • Ability to deal with changing priorities and ambiguity
  • Overtime required during month-end close

Work Environment

The job is primarily performed in an office environment. The environment can be stressful at time with deadline pressure to complete multiple priorities.
